Most applicants miss good funding windows not because they didn't know about them, but because they didn't plan around them in advance. The fix is treating your funding calendar as infrastructure, not as a series of one-off scrambles.

A quarterly deadline map gives you four planning windows per year. For each quarter, list every funding programme whose deadline falls in that window — including rolling-intake programmes that you should treat as 'submit within 6 weeks.' Then colour-code them: green if you're ready, amber if you're close, red if you'd need a rush.

Then work backwards from each amber or green deadline. For a major application, allow four to six weeks of substantive work. Mark a preparation start date on the calendar. Treat it like a billable milestone.

The map's second purpose is portfolio balance. If three of your four quarterly deadlines land in the same month, you have a capacity problem. Use the map to shift effort earlier — or to drop the lowest-fit programme from the queue so the higher-fit one gets your best work.

The third purpose is honest prioritisation. When a funder extends a deadline or announces a new programme mid-quarter, the map tells you instantly whether you have the bandwidth to take it on or whether you should defer.
